Digital Facility Management

Healthcare

Survey readiness is an evidence problem, not an effort problem

Hospital facility teams do the rounds. What fails a survey is the join between doing them and producing the record for one specific unit on one specific date, together with what happened about what was found.

  • Evidence retrievable by unit and date
  • Findings become tracked work
  • Runs offline in plant areas

The operating problem

What makes healthcare facilities harder

Several programmes run at once

Environment of care, life safety, utilities, medical equipment and emergency management, each with its own frequency, scope and evidence expectation.

Evidence is the deliverable

Completed work with no retrievable record counts for nothing at the moment a surveyor selects a room and a date.

The work happens below ground

Plant rooms, tunnels and interstitial spaces are exactly where connectivity is not, and where paper has survived longest.

Turnover is constant

A round that depends on a fifteen-year veteran knowing what to look at is a round that degrades quietly as that person is replaced.

Findings go stale

A deficiency noticed on a round has to become tracked corrective work with an owner and a date. An open finding proves you knew.

Construction never stops

Interim life safety measures need to be assessed, implemented and evidenced while the work is live and the department is occupied.

The loop

A finding becomes tracked corrective work at the moment it is found

A failed check on an environment of care round raises a deficiency on the spot, with the photograph, the room and the timestamp already attached. It is assigned, dated and escalated like any other work, and the closing evidence attaches to the same record. The loop closes inside the system rather than inside somebody’s head.

  • Asset or room scan establishes where the round actually happened
  • A failed check raises corrective work automatically, with evidence attached
  • Closure evidence links back to the finding that caused it
  • Retrieval by unit, department, programme or date range

Programmes

What a hospital repeats, forever

  • Environment of care rounds by department
  • Life safety, means of egress and fire barrier inspections
  • Fire door inspection and remediation tracking
  • Emergency and exit lighting testing
  • Generator and fire pump testing records
  • Medical gas outlet and manifold checks
  • Interim life safety measures during construction
  • Utility system inspection and testing
  • Temperature, humidity and pressure relationship monitoring
  • Eyewash and safety shower checks
  • Negative pressure room verification
  • Behavioral health ligature risk rounds

What software can and cannot do about compliance

No software makes a hospital compliant. Compliance is a programme run by people, against standards written by accrediting bodies and regulators, and it is judged by what those people can demonstrate on the day of a survey.

What DFM changes is the cost of demonstrating it. Because every round is completed at the point of care, with the room scanned, the evidence captured and the time recorded as the work happens, producing the record for a given unit on a given date is a search rather than a hunt through binders and camera rolls.

The second thing it changes is the loop between finding something and closing it. A deficiency raised on a round is tracked work with an owner and a due date, and the proof it was closed attaches to the same record. That is the part surveyors probe hardest, and the part that is hardest to hold together on paper.

Questions people ask

Does DFM make us Joint Commission compliant?
No software can do that. What DFM does is make the evidence for your environment of care and life safety programmes complete and quick to produce, and prevent findings from staying open unnoticed, which is where most citations actually come from.
What happens in a plant room with no connectivity?
The round runs and completes anyway. Evidence is held on the device and uploads when signal returns, with no action required from the technician.
Can different departments run different rounds?
Yes. Each round is its own procedure with its own schedule, scoped to the buildings, floors or rooms it applies to.
How do you handle interim life safety measures during construction?
As a scheduled programme against the affected areas, so the assessment, the measures in place and the ongoing checks are all in the same record as the rest of the estate.
