Reports and evidence
Evidence produced, not assembled
The expensive gap in facility operations sits between doing the work and being able to demonstrate it. That gap is usually filled by somebody spending a week each quarter collecting photographs and reconstructing dates.
- Produced from the record
- Scheduled distribution
- Shareable without an account
Audiences
Four packs, one record
Auditors and surveyors
Programme evidence for a date range, a building or a department, with findings and their closure attached.
Owners and asset managers
What is being maintained, what is deferred, what it costs, and the condition trend behind the capital request.
Clients and tenants
Demonstration that contracted service was delivered, with SLA attainment and the underlying jobs.
Internal leadership
The operating review pack, with live figures rather than a month-old extract.
Contents
What a completed record contains
Nothing in a DFM report is retyped, which is why it cannot drift from what happened. The report is the work, laid out.
- Every step and the answer recorded against it
- Photographic evidence at the step that required it
- Attendance, departure and time on site
- Metered readings with their thresholds
- Failed checks and the corrective work that closed them
- The individual and the company they work for

Retention
The record does not thin out
Evidence keeps its value for as long as somebody might ask, which for statutory testing and capital disputes is years. History stays complete and searchable rather than being archived into a state you have to request.
Questions people ask
- Can we share a report outside the organisation?
- Yes, as a document or a link. The recipient does not need an account, which matters for auditors, owners and insurers.
- How far back does the evidence go?
- To your first completed job in DFM. Nothing is thinned, summarised away or moved to cold storage.
- Can reports be branded for our clients?
- Yes, which matters for service providers whose report is part of what the client is buying.
