Government
A record that survives an audit and a disclosure request
Public estates are accountable in a way private ones are not. Every job may have to be explained later, to somebody entitled to ask, and the budget is defended annually in public. Both are easier when the explanation was written as the work happened.
- Auditable from day one
- Full data portability
- Accessibility programmes evidenced

The operating problem
What public sector estates carry
Records may be disclosed
Better that they exist, are complete, and are legible to somebody outside the department who requests them.
The estate is heterogeneous
Offices, depots, libraries, courts and listed buildings, with different statutory regimes and no common asset numbering.
Procurement is a long commitment
Which makes data portability and exit terms part of the evaluation rather than an afterthought.
Accessibility is a duty
Routes, doors, lifts and signage need scheduled inspection with an evidenced record, not a periodic survey.
Budgets are defended in public
With condition data, or with anecdote. Only one of those survives a scrutiny committee.
Framework contractors deliver the work
Under arrangements you are accountable for and cannot directly supervise.
Accountability
Four questions, one screen
When was this building last inspected. Who attended. What did they find. What happened about it. In most public estates each of those is a separate enquiry to a separate person. In DFM they are one record, retrievable by building and date.
- Every job traceable to a person, a time and a place
- Contracted work recorded to the same standard as direct labour
- Export for audit without a data project
- Retention that does not thin the record out over time

Questions people ask
- Where is our data held?
- Tell us your requirement during procurement and we will confirm in writing exactly where and how it is stored before you commit.
- Can we export everything at the end of a contract?
- Yes. CSV export and the API cover every record, including evidence. There is no exit fee and no proprietary format.
- Will you complete our security and accessibility questionnaires?
- Yes, properly and early. Our security page states plainly what we do and do not hold today, including certifications we have not yet obtained.
