The warranty money fleets leave on the table

October 14, 2025 · 5 minute read

Fleets routinely pay for repairs that were covered. The cause is never carelessness: the person fixing the vehicle at seven in the morning has no way to know it is 14 months old with a 3-year driveline warranty, and by the time anybody could check, the job is closed.

Put the cover where the work happens

Warranty terms, end dates and mileage limits belong on the vehicle record, visible on the phone when the job opens. Base vehicle, driveline, body, and any separately warranted component like a lift or a refrigeration unit, each with its own end point.

Add one tick to the job

"This might be a warranty claim", ticked by the technician, routed to whoever deals with suppliers. That single control recovers more than any retrospective review, because only the person who saw the failure knows what actually broke.

Component warranties are the ones most often missed

A tail lift, a fridge unit, a crane, a replacement gearbox fitted last year. These carry their own cover from their own supplier, on their own dates, and they are almost never recorded anywhere the workshop can see. Any part fitted with a warranty should create a dated record against the vehicle.

Inspect before the cover ends

Set a reminder about a month before each warranty expires and give the vehicle a proper look while somebody else is still paying. Every marginal item found in that month is money recovered.

Keep the maintenance record the claim depends on

Warranty claims are refused on servicing evidence more often than on the fault itself. Services within their interval, done by competent people, with dates, mileages and parts recorded, is what makes a claim stick. That record is the same one an inspector wants, so it earns its keep twice.

Count what you recover

Report claims made and money returned. It is one of the very few maintenance numbers that is unambiguously cash back, and it funds a lot of arguments about keeping records properly.
