Set up buildings and equipment

Every job happens somewhere. Buildings hold your equipment and your work orders. This guide shows you where all of that lives once setup is done.

Open the Locations page

Open Locations in the sidebar. It lists your buildings. Each row shows how much equipment the building holds. If you work for clients, it also shows which client the building belongs to.

Equipment has its own page in the sidebar, right under Locations. It lists everything workers scan in the field. Each unit carries its own StringBean QR code.

Add a building

A building carries a name, an address, and a time zone. You can also give it a geofence: a center point and a distance in meters. StringBean records where a worker was when they checked in. Runs that start outside the geofence get flagged for review.

Managers see a New location button on the Locations page. Fill in the name and address, then set the time zone. Add a geofence if you want location checks. You can change any of this later.

Map floors and rooms

Did you bring in a floor plan during setup? StringBean turned it into floors, areas, and rooms. Equipment sits inside them. A building can go four levels deep: building, floor, room, and the equipment in the room.

Floors, areas, and rooms are structure, not equipment. They stay off the Equipment page. Your equipment list only shows things people inspect and maintain.

Keep track of equipment

The Equipment page shows every unit across your buildings. You can:

  • Add a unit with the New button. Give it a name and a category, then pick its building.
  • Filter by category and search the list.
  • See which units have no building yet.

Every unit gets a QR code you can print and post at the unit itself. Scanning it in the field pulls up that unit and starts its work.

Add rooms and equipment while you walk

You do not have to build the whole list at a desk. Print a batch of blank QR stickers and hand the roll to whoever walks the building. They name each spot where they stand. Stick one on the door jamb and scan it. Type "Room 702 door", pick the building, and the room exists. The QR stickers guide has the full walkthrough.

Add more buildings

Growing the portfolio is the same steps again. Create the building on the Locations page. Then fill it with rooms and equipment, by hand or with a sticker roll. New buildings show up right away wherever you pick a location: workflows, schedules, and reports.

Some teammates should only see certain buildings. Set that per person on the Users & Teams page.
