Invite your team and set roles

Open Users & Teams in the sidebar to see everyone who can use StringBean at your company: employees, internal contractors, and vendors.

Invite people

Admins and owners can add people two ways.

  • Add by email. If the person already has a StringBean account, they are added right away. If not, they get an email with a link. They have to sign in with the same email address you sent the invitation to.
  • Import a CSV to add a whole team at once.

Open invitations sit at the top of the page. You can send one again or cancel it.

Choose what each person can do

Each person has a role, and the role decides what they can do.

  • Owner can do everything, including billing and company settings.
  • Admin can do everything a manager can, plus add people and set roles.
  • Manager runs the work. Managers build and publish workflows and set up schedules. They review finished runs and look after buildings and equipment. They cannot add people, set roles, or handle billing.
  • Member does the work in the field: runs workflows, finishes assigned jobs, scans QR codes, and reports problems.

Admins can also make custom roles. Start from one of these levels, then turn single abilities on or off. Nobody can hand out a role at or above their own. An admin can never make an owner.

Apart from the role, each person is marked as an employee, an internal contractor, or a vendor. You can also limit a person to certain buildings instead of the whole portfolio.

Bring in vendors

Vendors can do the least of anyone. A vendor does not even need an account. They open the vendor lane on the phone and type their name. They scan the StringBean tag at the work spot. That gives them two hours of access to that spot's workflow. When they finish, they check out. A building can also ask for a vendor check-in code. Then a stranger without the code cannot start work.

What workers see on the phone

Members open straight into StringBean when they sign in on a phone. There are four tabs:

  • Today lists their work, grouped by overdue, due today, upcoming, and finished.
  • Scan opens the camera to scan any StringBean QR code and start work.
  • History shows what they have finished.
  • You holds their profile and settings.

The phone works with no signal. Work uploads once the phone has signal again. A basement or a roof does not stop the day.

Lock the phone with a PIN

A four-digit PIN protects StringBean on shared phones and pocketed phones.

  • Workers can set their own PIN in their settings.
  • A manager can set or clear someone's PIN from that person's page in Users & Teams. A PIN set by a manager locks the app even on a brand new phone.

The PIN is also saved on the phone, so unlocking still works with no signal. Your security settings can also ask for the PIN right after a QR scan, before a run starts. Then every run is tied to a person you know.
